How to Organize the Mac Menu Bar: A Method That Sticks
Most attempts to organize a Mac menu bar start in the wrong place. Something has become unreadable, so the response is to hide things, and within a month the bar is full again because every new app adds an icon and nothing ever removes one. The tidying was real. The method was missing.
A menu bar that stays organized needs one decision made once for each icon, and a rule for what happens when a new one appears. The steps below are in the order that actually works, which is not the order most people try. Hiding comes near the end, not at the start.
Take an inventory before touching anything
Open a text file and list what is currently in the bar, left to right. It takes a couple of minutes and it changes the conversation, because a menu bar is one of the few parts of a Mac that grows without anyone deciding it should. Apps add themselves at install time, and almost nobody goes back afterwards.
Two things usually show up in the list. The first is items whose app you no longer use, still running in the background because they launch at login. Those are not a menu bar problem. Removing the login item, or uninstalling the app, is the correct fix and it frees more than screen space.
The second is items whose width is out of proportion to their value. A clock showing the day, the date, and seconds occupies several times the room of a plain glyph, and so does a weather item with a temperature, a network monitor with live figures, a battery item with a percentage, and an input source showing a full language name. Width, not icon count, is what fills a menu bar. A list of nine items where four of them carry text is a much fuller bar than a list of fourteen plain glyphs.

Sort each item by what you do with it
The useful question is not how important an app is. It is what you physically do with its icon during a normal day. Four answers cover almost everything.
Some icons you click. You open the menu and act on it, several times a week or more. A clipboard manager, a screenshot tool, a VPN you toggle, an audio device switcher. These belong in the bar and they belong where they are easy to reach.
Some icons you read. You never open them, but the glyph or the number tells you something at a glance: whether sync is done, whether recording is on, how much battery is left. These also belong in the bar, but they can sit further from your hand because you are not aiming at them.
Some icons you only need to notice when something is wrong. A backup tool that matters when it fails, a mirroring indicator that matters when it is active. These do not need permanent space. macOS has a setting for exactly this case, covered below.
And some icons you do nothing with at all. They arrived with the app and have never been used. These are the ones to remove, and there are usually more of them than expected.
Doing this classification once, item by item, is what makes the result stick. Everything after this is execution.
Remove before you hide
The nothing bucket deserves its own step, because hiding those items is the wrong treatment. An icon you never interact with belongs to an app that is still launching at login, still holding memory, and still doing whatever it was installed to do. Parking it off screen makes the symptom invisible and leaves the cause running.
Work through that bucket in order of how confident you are. Start with apps you can name and no longer use. Removing them from the login items list in System Settings stops both the icon and the background process, and the app is still installed if you need it later. That is a reversible change, which makes it an easy one to make.
Next, take the items you cannot identify at all. Clicking one usually reveals the app name in its menu, and if it does not, the app's own preferences will. An unidentifiable icon with a permanent place in the menu bar is worth five seconds of investigation, because it is either something you rely on and should recognise, or something you can remove.
Last, look at apps installed for a single project that ended. Trial versions, one-off utilities, tools tied to a client or a device you no longer have. These accumulate quietly and they are the main reason a bar that was tidy six months ago is full today.
What is left after this pass is the set of icons that genuinely earn a place, and everything that follows becomes easier because the list is shorter. Only now is hiding the right response, because from here on the choice is about screen space rather than about whether something should be running at all.
Fix the order, because order decides what survives
The menu bar fills from the right edge inward. When it runs out of space, the items furthest left stop being drawn, with no arrow or overflow menu to reach them. Position is therefore not cosmetic. It decides who disappears first when an app with a long menu list comes to the front.

Using the classification above, put the icons you click closest to the right, where they are both easy to hit and last to be cut. Put the ones you read next. Put the notice-only items furthest left, since losing them temporarily costs nothing.
On a MacBook with a camera housing, this matters more than on other Macs. The notch splits the bar into two shorter runs and neither side draws underneath it, so the collision point arrives earlier and moves depending on how many menus the frontmost app has. Ordering does not create space there. It decides where the loss lands.
Use what macOS already provides
Three built-in controls do real work before any third-party tool is involved.
Control Center settings
System Settings has a Control Center pane listing every item macOS itself puts in the bar: Wi-Fi, Bluetooth, AirDrop, Focus, Screen Mirroring, Display, Sound, Now Playing, Battery, Fast User Switching, Time Machine, VPN, Accessibility Shortcuts, and the search and assistant items. Most offer three states, including one that shows the item only while it is active.
That middle state is the answer for the notice-only bucket from the classification. Screen Mirroring and Time Machine tell you nothing while idle, so setting them to appear only when active costs nothing and returns their width the rest of the time.
Clock options
The clock is frequently the widest single item in the bar. Its settings let you drop the day of the week, drop the date, switch to a 24-hour display, and turn off seconds. Dropping the day and date alone frees a visible run of pixels, and both are one click away in Control Center.
Per-app menu bar preferences
Many third-party apps have a setting inside their own preferences to run without a menu bar icon, usually paired with a keyboard shortcut or a Dock icon instead. This is worth checking for every item in the click bucket, because an app you reach by shortcut does not need to occupy the bar at all. Not every app offers it, which is the main reason the built-in route eventually runs out.
Where the built-in route stops
The pattern in all of the above is the same: give something up, get width back. It works until the remaining items are all things you want.
The Control Center pane only governs Apple's own items. Third-party apps that do not offer a hide setting leave a choice between keeping the icon and quitting the app, and quitting an app that is doing useful background work is not organizing, it is removing a feature. Reordering redistributes the loss rather than reducing it. And none of it addresses the underlying situation, which is that a menu bar has a fixed width and no overflow area.
That is the point at which a menu bar manager becomes the next step rather than a shortcut past the work. Everything above reduced the size of the problem. What is left is a set of icons you want to keep but do not want on screen at all times.
Choosing a tool for what is left
A menu bar manager for macOS keeps status items registered with the system but parks the secondary ones outside the visible bar, then brings them back on a click, a hotkey, or a hover. The apps keep running and the icons stay alive. Only the screen space is reclaimed.

The first question is the one that decides whether the organizing holds. One thing to be clear about before installing anything: hiding an icon does not reduce what that app is doing. Battery and memory use are unchanged. What changes is how much of the top of the screen asks for attention.
Keeping it organized after the first pass
The bar refills for one reason. New apps add icons, and nothing prompts you to decide about them.
The rule that prevents it is short. When an app puts a new icon in the bar, classify it that day. Click, read, notice, or nothing. Anything in the nothing bucket goes immediately, either through the app's own preferences or by removing it from the bar. Anything in the notice bucket goes straight to hidden rather than being left visible while you decide.
