Mac menu bar settings: where each one actually lives
Anyone who goes looking for Mac menu bar settings finds the first half quickly and then stalls. The clock format is in System Settings. The battery percentage is in System Settings. The sync icon that has been sitting there for two years is not, and no amount of scrolling through that pane will produce it. The reason is structural: the menu bar looks like one strip, but it is assembled from four separate layers, each with a different owner and a different place to change it.
The four layers behind one strip
The left side belongs to whichever application is in front. Its length changes every time the frontmost app changes, and nothing in System Settings adjusts it. The right side is the status area, where macOS system items and third party background apps sit side by side, visually identical and controlled in completely different places. At the far right, Control Center and the clock hold fixed positions.
That split maps directly onto where the settings are. System items are managed in System Settings under Control Center. Third party icons are managed only inside each app. Order is set by a mouse gesture with no settings screen at all. And how many icons fit is decided by screen width, which is hardware.
There is a fast way to tell which layer an icon belongs to. Click it. If what opens is a Control Center panel, it is a system item and System Settings governs it. If a custom menu drops down, it belongs to an app, and only that app can remove it.
Knowing this saves the most common wasted loop, which is hunting through System Settings for a Dropbox or Google Drive icon that was never listed there in the first place.
What System Settings controls
Since macOS Ventura renamed System Preferences to System Settings, everything the system owns lives in the Control Center pane. The list covers Wi-Fi, Bluetooth, AirDrop, Focus, Screen Mirroring, Display, Sound, Now Playing, Accessibility Shortcuts, Battery, Fast User Switching, Keyboard Brightness, Stage Manager, Spotlight, Siri, Time Machine, and VPN.
Each of these has a control for whether it appears in the menu bar. The useful detail is that switching one off does not disable it. The item stays available inside Control Center itself, one click away. Anything used a few times a month can therefore be taken out of the menu bar without losing access to it, which is the cheapest width you will recover.
The same pane holds the setting for hiding the menu bar itself, with four choices: Always, On Desktop Only, In Full Screen Only, and Never. The default is In Full Screen Only, which is why the bar disappears in a full screen app and comes back when the pointer touches the top edge. Choosing Always applies that behaviour on the desktop too. It buys screen height, and it costs a pointer movement every time you want to check the time or the battery.
The clock is a width setting
The Clock entry has its own options: show seconds, use a 24 hour clock, show the day of the week, show the date, or switch to an analogue face. These read like cosmetic choices, but on a narrow display they are not. Every extra character in the clock pushes the icons to its left further along, and on a machine that is already short of room, some of them fall off the end. Turning off the date is sometimes enough to bring a missing icon back.
Icons that no system setting can remove
Cloud sync clients, backup tools, clipboard managers, screenshot utilities, VPN clients, bandwidth monitors, and password managers all register their own status item. macOS provides no central list of them and no switch to turn them off. Removing one means opening that specific app and finding its own preference.
Two things make this harder than it sounds. First, many of these apps have no window. The menu bar icon is the entire interface, so removing it also removes the way to open settings and change your mind. Recovery usually means relaunching the app or editing a preference from the command line.
Second, quitting the app does remove the icon, but it also stops the work. A sync client that is not running is not syncing. If the goal was a tidier screen rather than less background activity, quitting has solved the wrong problem.
That leaves exactly three options for any third party icon: turn it off in the app if the app offers that, quit the app entirely, or leave it running and move it out of sight. The set of icons where the first two are unacceptable is precisely the set that menu bar organisers exist for.
It is worth auditing this group once, because installers add to it quietly. Printer software, graphics drivers, conferencing clients, and updater helpers frequently place an icon without asking, and several of them offer a preference to remove it that is never surfaced during setup. Working through the list app by app, once, usually removes a few items permanently and tells you exactly which ones have no such option. Those are the only ones that need a tool.
Login items are the related setting people look for at this point. In System Settings, under General, the Login Items list shows what starts automatically and which background items each installed app is allowed to run. Removing something there stops it from launching at all, which again is a different decision from tidying the bar. It is the right control for software you no longer use, and the wrong one for software you rely on but do not want to look at.
Reordering with a Command drag
There is no settings screen for order. The gesture is to hold Command and drag the icon along the bar. Without the modifier key the drag registers as a click, which is why this feature is often assumed not to exist.
Only the status area responds. Application menus on the left cannot be moved, and Control Center and the clock stay pinned at the right end. The arrangement persists across restarts.
Dragging a system item off the bar while holding Command removes it, which has the same effect as switching it off in System Settings and is faster when you are already looking at the bar. Third party items generally do not respond to that, since removal depends on how each app registered its item.
Order matters more than it appears, because the pointer usually rests near the top right of the screen. Items closest to the right edge are the cheapest to reach. Putting frequently clicked icons on the right and status only icons on the left reduces travel without removing anything.
The notch and the hard width limit
The 14 inch and 16 inch MacBook Pro, and the MacBook Air models with the same design, have a camera housing in the middle of the menu bar. Nothing can be placed there, so the usable width is smaller than the screen suggests.
The behaviour when items no longer fit is the part that confuses people: they vanish without warning or explanation. Application menus win the space, so bringing a menu heavy app to the front can silently push status icons off the right side of the notch. Nothing was changed and nothing is broken.
The test takes two seconds. Bring Finder, or any app with a short menu, to the front. If the missing icons reappear, it was a width problem. If they do not, the app itself has hidden them. The same logic explains why everything is visible on an external display and not on the built in one.
There are three ways out. Show fewer items, shorten the clock so the right end takes less room, or keep everything installed and collapse it out of view. The first two cost you access to something. The third is why the category of tool exists.
Which display gets the menu bar
On a multiple display setup there is one more setting that changes what you see, and it is filed somewhere unexpected. In System Settings under Desktop and Dock, the Mission Control group contains an option for displays having separate Spaces. With it on, every connected display draws its own menu bar, and each one shows the menus of whatever app is active on that display. With it off, only the main display has a menu bar, and the others are plain screen area.
Which display counts as the main one is decided in the Displays pane, in the arrangement view, by dragging the small white bar onto the display you want. That single drag moves the menu bar, and with it the login window and the position new windows open at.
Both configurations are defensible and they fail in different ways. Separate Spaces means the bar is always on the screen you are working on, so the icons are never far from the pointer, but a full screen app then occupies one display completely and its menu bar hides with it. A single menu bar on the main display keeps one fixed place to look, at the cost of a long pointer trip whenever you are working on the other screen.
The detail worth knowing is that the width limit is per display. A laptop screen that cannot fit every icon will still drop items even while a wide external display next to it has room to spare, because the built in display is doing its own layout. Deciding what to hide
Tidying stalls because every icon looks necessary in isolation. Sorting them by role makes the decision quick.

The second row is almost always the largest and is where most of the width goes. A sync client matters when it stalls and is pure noise the rest of the time, which is exactly the case that cannot be solved by removing it.
For the third row, use frequency rather than importance. An icon not clicked in a week is faster to reach through Spotlight or a launcher than through a bar that has run out of room. The menu bar is a fixed budget of horizontal space, and sorting by clicks per week spends it well.
What to change first
Start inside System Settings by switching off the Control Center items you have not used this month, then shorten the clock to free the right end.
